Search Keywords Are Not Specifications: A Quality Inspector's Lesson from Air Products

Search keywords are not specifications. That sentence is the reason I've rejected more than 200 purchase requests in the last four years as a quality inspector at an industrial gas company. In 2024, 12% of our first deliveries had a missing spec, wrong certification, or an ambiguous product name. Every one of those could have been caught in a five-minute check before the PO went out.

I work at Air Products. People type "air-products" or "NJ Air Products" into a search box all the time. Some of those results are ours; some are not. I don't trust the search ranking. I trust the legal entity on the quote, the manufacturer part number, and the datasheet that matches it. A familiar name is not a specification.

The cost of a five-second shortcut

The most frustrating part of my job isn't bad suppliers. It's the same mistake happening repeatedly: someone sees a familiar product name, assumes the spec is standard, and skips verification. You'd think a written PO would prevent mistakes, but interpretation varies wildly.

It took me about four years and 200+ orders to understand that the best quality control happens before the order, not after delivery. In 2023, a missing certification forced a $34,000 re-inspection and delayed a project by 11 days. The certification was listed in the original request—but nobody verified it before ordering. That was the moment I turned "prevention over cure" from a slogan into a rule.

5 minutes of verification beats 5 days of correction. That's not a motivational poster. That's the math when you add up rework, shipping, downtime, and the awkward meeting with the plant manager.

Names get you close; specs get you there

Search engines are good at matching words, not intent. "Air-products" with a hyphen might lead to Air Products. "NJ Air Products" might lead to a regional office, or to a different distributor in New Jersey. So I ask for the legal entity name and tax ID before I put a vendor on the approved list.

The same ambiguity happens with consumer-facing phrases. "Air dry hair products for fine hair" has nothing to do with industrial gas. But the phrase "air dry" shows up in compressed-air dryers, membrane dryers, and hair-care marketing. If a buyer searches "air dry" and picks the first result, they might order a hair product instead of a membrane air dryer. It sounds like a funny story until someone receives a $7,000 device that cannot connect to a 150 psig line.

We also had a quality note that used the phrase "white hair" to describe a surface flaw on an injection-molded part. The supplier used it as a local term for stress whitening. Our standard didn't define "white hair," so the drawing wasn't clear. We had to hand-inspect 8,000 parts before shipping. Now every surface defect in our standard has a photo and a reference dimension. Local slang gets you only as far as the next argument.

Product names with model years are another trap. One requisition came through for a "2020 Lincoln" part. The buyer meant a Lincoln Electric welding accessory. The search engine wanted to show a 2020 Lincoln car. We almost ordered the wrong regulator because the requester didn't include the model number. We caught it when the part number didn't match the datasheet. Now our contract template requires a manufacturer part number for every line item—no exceptions.

Most "urgent" requests came from a vague description or a wrong model number. They weren't urgent—they were unverified. The verification checklist I use

Prevention, in my world, looks like a checklist. I have a 12-point list I built after three separate wrong orders. I won't bore you with all 12, but the non-negotiables are:

  • Manufacturer part number matches the datasheet.
  • Legal entity name matches the vendor master record.
  • Regional names like "NJ Air Products" are checked against the parent company's tax ID.
  • Certifications named in the PO are attached to the same document set.
  • Delivery terms include a named carrier and a dock appointment, not just a date.

If a claim feels vague—"green," "pure," "hydrogen-ready"—I ask for the test method. Per FTC guidelines (ftc.gov), claims have to be substantiated. The same rule should apply to your internal PO approval process: if it's not on the datasheet, it doesn't go on the order.

When a checklist isn't enough

My experience is based on industrial B2B equipment and gas supply at one company. If you're buying consumer products like air-dry hair products for fine hair, your process should be different—you can't demand a datasheet from a beauty brand the way we do from a gas supplier. This rule isn't meant for personal shopping.

And this was accurate as of Q1 2025. Product names, sellers, and search algorithms change fast. A checklist is not a substitute for a qualified engineer when the stakes are high. If you're integrating a gas system into a hydrogen plant, get an actual engineer to sign off.

So next time you're about to click "order" on that "2020 Lincoln" part or that "air-products" quote, stop. Verify the spec. It's five minutes on the front end, or five days on the back end.
